Practical guide
What to keep in a sample follow-up record
Keep sample versions, feedback and open questions traceable.
Record sample identifiers, dispatch dates, specifications and versions. Check that the received sample matches the agreed version before evaluating it.
Organise feedback by appearance, dimensions, function, packaging and documentation. Use clear descriptions, measurements and photographs rather than vague requests.
Identify who should respond, whether another sample is needed and what must be checked next. Sample approval does not replace written agreement on commercial terms and quality responsibilities.
